Licence optimisation review

Stop paying for licences nobody uses

Inactive accounts, duplicate add-ons, E5 where E3 would do, and commitments that no longer match your headcount. We find them before your renewal, when changing them is easiest.

  • Inactive and unassigned seats
  • Plan-per-role recommendations
  • Add-on and suite overlaps
  • Renewal and term strategy

What we look for

Where licence waste usually hides

01

Inactive users

Licensed accounts with no sign-in activity, including leavers and shared mailboxes that do not need a licence.

02

Over-licensed roles

Users on premium suites who only use email and Teams, or frontline staff on full plans.

03

Overlapping add-ons

Standalone security or compliance add-ons already included in a suite you own.

04

Business-plan cap

Organisations near the 300-seat limit that need a planned move to Enterprise plans.

05

Term strategy

Monthly versus annual terms and billing frequency, given the 5% monthly-billing uplift.

06

Azure commitments

Reservations and savings plans that are under-used or missing.

How it works

How the review works

  3. 3

    Analyse

Match licences to roles and actual usage.

  4. 4

    Report

Prioritised savings with risks and a renewal plan.

FAQ

Licence review questions

Can't see your question? Ask us directly. We reply within one business day.

What access do you need?
Read-only access to Microsoft 365 admin reports and licence assignments, and optionally Azure Cost Management. We work with your administrators and never need global admin rights.
How long does a review take?
Typically one to two weeks depending on tenant size, ending with a written report and a walkthrough.
Do we have to buy licences from you afterwards?
No. The report is yours. Many clients ask us to implement the changes at their next renewal, but there is no obligation.
When is the best time to do a review?
Two to three months before your main renewal date. Under NCE, seat reductions and plan changes are easiest at renewal, so timing matters.
